The tutoring program at Indianola requires that tutors have regular attendance to improve the effectiveness of the program. Absences make planning difficult for teachers, who count on tutors being present when deciding lesson plans. Therefore, Adopt-A-School checks the sign-in sheets and records tutors' attendance in TOM. Each week, attendance will be recorded as either "present", "absent/excused", "absent/unexcused", or "tutoring not requested", as described below:

present: The tutor was present for that tutoring session.

absent/excused: The tutor informed the Leadership Team and the teacher of their upcoming absence.

absent/unexcused: The tutor did not inform the Leadership Team and the IMS coordinator or their teacher of their upcoming absence.

tutoring not requested: Tutoring was cancelled for the day due to weather or teacher's or coordinator's discretion. If a teacher cancels tutoring, please inform the Leadership Team via e-mail before the day of tutoring so that attendance can be marked as "tutoring not requested".

Attendance for all quarters can be viewed by tutors through their tutoring schedule. Attendance for each of the weeks of tutoring will be noted on the tutoring schedule, and an attendance percentage will be calculated using times which the tutor was present and absent/unexcused at the end of the quarter. Tutoring during an optional week will earn an extra session present when determining the attendance calculation. An attendance percentage of 100% will earn an attendance ranking of "excellent" for the quarter. An attendance percentage between 80% and 99% will earn an attendance ranking of "satisfactory". If the attendance percentage is below 80%, the attendance ranking will be "unsatisfactory".

To provide the highest quality of tutoring at the lowest possible cost, Adopt-A-School monitors the attendance of its tutors at Hilliard CARES. Tutors are responsible for tutoring on the Saturdays for which they sign-up. Once a tutor realizes that he or she will not be able to volunteer on a Saturday for which the tutor is signed-up, he or she needs to drop the tutoring time slot from the online scheduling system as soon as possible and by Friday at 5pm. This allows the program to contract correct-size transportation and to adequately allocate resources for that Saturday.

Adopt-A-School tracks the attendance of its tutors and measures it against their actual volunteering. Attendance for the weeks which the volunteer has registered to tutor is recorded as "present" or "absent". Absent tutors are contacted via email. To maintain the integrity of our program, volunteering hours for tutors absent more than 25% of the time can only be verified with their percentage of absences. Adopt-A-School reserves the right to implement further sanctions to restrict absences. Furthermore, the Hilliard CARES program will also reward volunteers with low absence rates.
